POSITION:
Administrative Assistant/Office Manager for the Assistant Superintendent of Special Education and Student Support Services
QUALIFICATIONS:
- High school graduate, some college preferred and five (5) years Administrative Assistant/Office Manager experience.
- Must be computer literate, proficient in Microsoft Office Suite – latest version of Windows (Word, PowerPoint, Excel, and Access).
- Ability to operate standard office equipment.
- Excellent written and verbal communication skills
- Ability to take dictation and transcribe on a word processing system.
- Required criminal history background check and proof
of U.S. citizenship or legal resident alien status.
REPORTS TO:
The Administrative Assistant/Office Manager is directly responsible to the Assistant Superintendent of Special Education and Student Support Services.
JOB GOAL:
To assist and support the Assistant Superintendent of Special Education and Student Support Services in the performance of his/her role and responsibilities by maintaining a thorough and efficient operation, and supervise and assign work to office staff under the auspices of the Assistant Superintendent of Special Education and Student Support Services.
PERFORMANCE RESPONSIBILITIES:
- Performs the usual office routines and practices to maintain a smooth operating office.
- Oversees all clerical activities of the Assistant Superintendent’s Office, Special Education and Student Support Offices, including Enrollment/Registration Secretaries and Translator.
- Processes all professional day forms for the Special Education and Student Support staff.
- Processes all field trip forms for the Special Education and Student Support Staff.
- Coordinate everyday schedules of the Assistant Superintendent of Special Education and Student Support Services.
- Coordinates Observation Schedules of all Child Study Team Staff, Supervisor of Special Education and Student Support Services Staff
- Coordinates all Professional Development and enter the information into My Learning Plan.
- Coordinate and Collaborate with the other secretary to submit agenda items to the BoardDocs.
- Assists in preparation of workshops including New Staff Orientation.
- Maintains office budget – including purchase orders for Assistant Superintendent of Special Education and Student Support Services. Ordering of Supplies for Department of Special Education and Student Support Services.
- Maintains a regular filing system, as well as a set of locked confidential files, and processes incoming correspondence and e-mail as instructed.
- Constructs letters, e-mail and other correspondence as requested.
- Obtains, gathers, and organizes pertinent data as needed, and puts in useable form.
- Maintains a professional appearance at all times.
- Exhibits excellent professional and interpersonal skills; relates and interacts well with the public and staff members.
- Handles and keeps in strict confidence any personal matters that may involve students, staff members and parents.
- Keep up spreadsheets, and yearly send out new tech sheets to CST Staff.
- Assigns work as needed to other secretaries under the direction of the Assistant Superintendent of Special Education and Student Support Services.
TERM OF EMPLOYMENT:
12 Months. Salary to be determined by the Board of Education.
EVALUATION:
Performance will be evaluated in accordance with Board policies and procedures on the evaluation of professional staff.
