POSITION:

Office Manager

QUALIFICATIONS:

  1. Minimum High School Diploma
  2. Required criminal history background check and proof of U.S. citizenship or legal resident alien status

REPORTS TO:

Principal/Supervisor

JOB GOAL:

To assure the smooth and efficient operation of the school and/or district offices so that the maximum positive impact on the education of students can be realized.

PERFORMANCE RESPONSIBILITIES:

  1. Serve as confidential secretary to the principal/supervisor with all of the duties that implies.
  2. Manage and assume responsibility for principal's/supervisor's secretarial staff.
  3. Assume responsibility for the preparation of all reports (local, county, state, federal) for which the office is accountable, subject to principal's/supervisor's direction and approval.
  4. Make all contacts and prepare all communications as directed by the principal/supervisor.
  5. Screen and route principal's supervisor's mail.
  6. Place phone calls and screen incoming calls for the principal/supervisor.
  7. Keep principal's/supervisor's calendar; schedule and notify staff members and student of committee meetings, staff meetings, etc.
  8. Inventory, prepare, and check in orders for office supplies.
  9. Supervise office stock room and supply cabinets.
  10.  Establish office procedure and assist in:
    • School closing procedure
    • Opening of school procedure
    • Graduation
    • Coordination and preparation of staff handbook.
  11. Type evaluations and total performance evaluations; prepare evaluation schedule for maintain log of employee evaluations.
  12. Prepare materials for new teacher/employee orientation.
  13. Attend Faculty Advisory Committee meetings and take, type, and distribute minutes.
  14. Assist with workshop planning and supervise sign-ins.
  15. Prepare mailings to parents.
  16. Assist teachers, department chairpersons, administrators, parents, and students as needed.
  17. Type recommendations for students and staff members.
  18. Type principal's monthly and annual report.
  19. Make arrangements for parent conferences as needed and notify proper staff of conference outcome.
  20. Prepare budget and correlate backup data.
  21. Oversee operation of all office machines; i.e. copiers, postage machine, fax machine, word processors/typewriters and computers.
  22. Notify sending districts, Vo-Tech, etc. of any changes of schedule.
  23. Perform duties as needed to assist in efficient functioning of the office.

TERM OF EMPLOYMENT:

12 Months. Salary to be determined by the Board of Education

EVALUATION:

Performance to be evaluated in accordance with Board policies and procedures in evaluation of staff.
